Cancellation & Missed Appointment Policy
This policy aims to reduce appointment wastage in the diary for the benefit of all patients, allowing further accessibility to the practice.
We ask that if you do need to rearrange or cancel your appointment, we are happy to do so, however, we kindly request that 48 hours’ notice is provided.
This allows the team to make alternative arrangements for the surgery, offering those patients who may require an appointment more accessibility to our service.
It is requested that cancellations are reported to the team via telephone or email. Kindly be advised that failure to attend for a scheduled appointment or cancelled without 48 hours’ notice, may result in a ‘failed or late appointment fee’.
In most cases the deposit taken will go towards the overheads still incurred by the surgery and team.
If your appointment duration is 1 hour or longer, there will be a minimum charge of £90.00 per hour missed.
If the deposit you have paid exceeds this amount, the fee will be deducted and the remaining amount will automatically be placed onto your account. Similarly, if the deposit you have paid is lower than this amount, you will then be required to pay the difference.
The deposit fee which is taken, is usually based on the length of the appointment and is the discretion of Smile Rooms.
Failures and short notice cancellations of 4 or more occasions within an 18 month period, may result in removal of the registration at the practice.
We understand that cancellations are sometimes unavoidable due to emergencies and illness and we will take into account all valid circumstances. In the case of an extenuating circumstance, a patient may appeal the decision by contacting the Practice Manager, Maddie Wood. maddie@smilerooms.co.uk
